Pawn broker software

Software for the paperwork side of pawnbroking

Taking the pledge is the easy part. What costs a licensed firm time is everything around it — the registers kept to the day, the notices served in the right order with proof, the numbering that must not break. GoldKhata is built around that side of the trade, not bolted on after.

The registers an inspector asks for

Pledge register, kept as you go

Every pledge is written into the register the moment the loan is entered — not copied up the night before an inspection.

Delivery register with continuous numbering

Release entries get sequential numbers that cannot silently skip. A broken sequence is the first thing a careful inspector looks for.

Gold loan ledger, statutory layout

The single-line register in A4 landscape, release entries marked in red, printed on your own letterhead.

Your licence number on every document

Pledge cards, receipts and notices carry the firm's licence details automatically, so nothing goes out incomplete.

Notices, on the clock

Overdue pledges surface themselves

You do not read the register looking for them. The list builds itself as loans pass their term.

Final and auction notices print ready

Bilingual, formatted for window envelopes, generated on schedule rather than typed one at a time.

Speed Post consignment tracked on the loan

The consignment number lives on the loan record, so proof of service sits with the pledge it belongs to.

The waiting period is visible

Each notice shows when it was served and what date the next step becomes available — the sequence is on screen, not in someone's memory.

Records that survive a bad day

Nightly off-site backup

A bound register has exactly one copy. This does not.

One-tap full Excel export

Your entire book, downloadable at any time — including after you stop paying.

Staff roles and an audit trail

Cashier, manager, appraiser and auditor see what they need. Who entered what, and when, is recorded.

Runs on the phone you already have

Nothing to install, no shop computer holding the only copy of the business.

Indian pawnbroking is not a Western pawn shop

Search for pawn broker software and most of what Google shows is built for the American or European pawn-shop trade — buy‑sell counters, layaway plans, firearms logs, eBay integration. An Indian pawnbroking firm is a different business altogether: it is licensed gold lending under a state Money Lenders or Pawn Brokers Act, and the software has to speak that law's language.

A Western pawn-shop product does

  • Buy–sell and trade-in inventory
  • Layaway and instalment retail plans
  • Police reporting formats for US states
  • Pricing in dollars, dates in MM/DD

An Indian firm actually needs

  • Statutory loan ledger and delivery register in the inspector's format
  • Interest by the register method — a part month is a full month
  • Bilingual final and auction notices with Speed Post consignment proof
  • Pledge cards on the firm's letterhead, in Kannada where customers read it

GoldKhata is built only for the second column. It is listed on SoftwareSuggest and Techjockey under gold loan and pawn broker software for India, the pricing is published openly at ₹499–₹999 per month + GST, and the live demo at demo.goldkhata.com is open to anyone — no sales call needed to check whether it matches your counter.

How the notice timeline runs, with dates

Take a pledge made on 10 January 2025 with a 12-month term. It expires on 10 January 2026. From that day the loan sits overdue, and GoldKhata surfaces it on the notice desk. Say the firm posts the final demand notice on 27 January: the system prints it bilingual on your letterhead, records the Speed Post consignment number against the loan, and starts the notice period your state Act prescribes. If the customer neither pays nor renews, the loan becomes auction-eligible only after that period lapses — and the auction notice follows the same print-post-record path, so when an inspector asks “show me proof of service,” the consignment number is on the same screen as the pledge. Nothing depends on anyone's memory of which notice went when.

Questions firms ask

Is pawn broker software the same as gold loan software?

In India, yes — they are the same tool under different regional names. The South more often says gold loan or jewel loan, the North says girvi, and the licence itself usually says pawn broker. GoldKhata is one product covering all of them.

Does it produce the registers my licence requires?

It produces the pledge register, gold loan ledger and delivery register in the printed formats Indian firms are asked for, with continuous numbering. What your specific district expects can vary, so check the output against your own inspector's requirements — we will adjust the format if something differs.

Does the software make my firm compliant?

No software can do that, and you should be wary of any that says otherwise. Compliance rests on your licence, your record-keeping and your inspector's judgement. What GoldKhata does is keep the records current and print them in the expected shape, so the paperwork is never the reason you fall short.

Can I bring my existing pledges across?

Yes. Running loans come in from Excel or from your register with their original loan numbers, dates and interest terms preserved, so the history does not restart. Migration is included at no charge.
