How we digitised our own gold loan firm

This is not a customer story we collected — it is our own shop. Cauvery Bankers has run in Suntikoppa, Kodagu since 2005 under licence 44/2005-06, on bound registers and carbon-copy pledge slips, the way every firm around us still runs. Here is what paper was quietly costing us, and what actually changed when the counter went digital.

What paper was costing us

  • Interest arguments. Every long-running closure meant working the months out by hand while the customer watched — and any slip became a negotiation.
  • Slow answers. “What do I owe on my three loans?” meant hunting three register pages. The customer waits; the queue grows.
  • Notices as a project. Overdue accounts had to be found by reading the register, then each notice typed, posted and remembered. Some slipped.
  • One copy of everything. The register was the business. Fire, water or one lost book — twenty years of records had no backup.
  • The register lived in one head. Only the person who kept the books could answer questions from them.

What we refused to change

The register method itself. Our monthly rounding, our renewal habits, our pledge-card layout, the Kannada our customers read — those are the business. Software that made us adopt its conventions would have created a mismatch with two decades of running loans. So the software was built to copy the register, to the rupee, and print the same documents the counter always issued — down to the licence number.

What the counter looks like now

  • A loan is entered once; the pledge card prints on our letterhead and the ledger, pledge register and delivery register fill themselves.
  • Every payment produces a printed receipt and a WhatsApp receipt from our own number — the customer’s phone now holds their history.
  • Every Friday our customers get the gold rate on WhatsApp automatically. They forward it; the forwards bring walk-ins.
  • Overdue loans surface themselves; final and auction notices print bilingually for window envelopes, and India Post tracking numbers live on the loan record.
  • Records are backed up off-site nightly, and the whole book exports to Excel in one tap — the data stays ours.

What we learned building it

That the hard part of gold-loan software is not the technology — it is the register conventions, the bilingual documents, the notice discipline, the inspector’s expectations. Those only get built correctly when the builder has stood at the counter.
